Your day-to-day:

  • Provide outstanding customer service to internal and external clients
  • Monitor, route and/or create orders, invoices, and payments

Your traits and background:

  • At least 1 year of experience in a customer service, accounting or administrative role
  • Associate degree or certificate in a relevant field such as Accounting, Communications, Operations, Project Management or Supply Chain Management
  • Well-versed in project management applications, webstore platforms, inventory management programs, accounting software and CRM systems
  • Ability to follow written and verbal instruction correctly and quickly from hands-on management
  • Strong interpersonal skills with varying personality types, and ability to collaborate across different internal and external teams and stakeholders
  • Independent performer yet enthusiastic collaborator in both routine and complex tasks

As product/service knowledge and systems understanding is paramount, this career opportunity will begin in a customer service representative role working directly under one of our experienced sales teams. It is anticipated that this apprenticeship will take one to three years.

Customer Support Specialist - Distribution

Kaye-Smith is seeking an energetic and detail-oriented individual to provide client and production support in the warehousing, distribution, and fulfillment areas of our business. This logistics/project coordinator role will have a strong focus on inventory and postage management, packaging/assembly, and working with multiple e-commerce systems.

The responsibility of our support team is to work closely with clients, account managers, and internal production staff to manage daily functions, as well as one-off projects from beginning to end. Their role is essential to the success of our day-to-day operations.

Invoicing Clerk

Position:  Invoicing Clerk
Division:  Accounting
Direct Report:  Accounting Manager
Employment Type:  Full-time, hourly, non-exempt – compensation DOE

Position Summary

Detail Invoicing Clerk will be the primary contact for invoicing questions from other departments within the company. Successful applicants will have the desire to eventually develop the position into a lead roll.

Qualifications and Experience

  • 3-5 year of experience with general accounting.
  • High school diploma or equivalent is required, and college-level accounting coursework is a plus.
  • High level of computer literacy (see below for specifics).
  • Customer service – proven ability to deal effectively with members of other departments

Technical Project Coordinator

Position Summary

The Technical Project Coordinator will work with Sales, Client Services, Operations and the Technology team on the development of digital deliverables, most commonly websites. The project coordinator will work with the Technical Project Manager and internal teams to develop solutions and execute production efforts and will work with clients to ensure projects are delivered on time, according to specifications, and on budget. The Technical Project Coordinator will report to the Technical Project Manager.

This individual is expected to document and track features and functionality throughout the lifecycle of a project, help ensure milestones are met, assist in the QA process and help create training materials for clients and internal personnel. Problem-solving, technical, interpersonal, written and verbal communication skills are critical to this role. This individual will be at the center of a fast-paced environment and be relied on to execute daily, weekly and project deliverables, facilitate decisions among stakeholders, and maintain process and best practices.

Responsibilities will include:

  • Executing project plans and coordinating the efforts of the overall team; clients, Sales, creative and internal parties
  • Assisting in the managing of timelines
  • Gathering functional requirements and documenting
  • Translating strategic recommendations into technical documentation
  • Executing quality assurance testing
  • Executing development tasks as directed by the Technical Project Manager
  • Transferring data, such as item descriptions, images, pricing onto webstores
  • Contributing to release preparations and release activities

Skills:

Warehouse System Project Manager

Position Summary

The Warehouse System Project Manager manages the day-to-day support needs within Kaye-Smith’s Warehouse Management System, Veracore. They will ensure that all systems are functioning properly and that needed changes are implemented on schedule and accurately documented. They will also assist the VeraCore team with new implementations and special projects.

  • Set up and manage all admin users, field user inquiries and address access needs.
  • Item list uploads, expected arrivals, orders and other system functions
  • Assist VeraCore team lead with basic training
  • Document management of SOPs and Process Flows
  • Assist and manage specialty projects
  • Implement and manage new offerings and services within the warehouse system
  • Utilize the ticket system to communicate system needs and problems
  • Timely responses to user requests and emails
  • Reporting and tracking of system issues

Desired Skillset

  • Computer-savvy with a working knowledge of inventory or 3PL systems a plus
